Xpert Resourcing are working with an established business based close to Ely who are looking to recruit an experienced Office & Compliance Coordinator into the team. This is a varied and important role within the business, supporting the day-to-day administration, HR, employee compliance, systems and Health & safety Functions. The successful candidate will need to be highly organised, proactive and confident working across multiple areas of the business.
Duties to Include:
- Managing and maintaining the company’s bespoke computer system, including processing weekly timesheets, maintaining sites and users, digital filing and resolving technical issues.
- Liaising with contractors.
- Maintaining accurate employee records, personnel files and HR documentation, including updating Sage and the company computer system.
- Preparing offer letters, new starter documentation and employment contracts, coordinating inductions.
- Recording holidays and maintaining absence and holiday records, along with providing weekly holiday information to the office team and Managers.
- Booking employee and operative training courses and maintaining training certificates, cards and the company Training Matrix.
- Monitoring training.
- Distributing company Safety Memos and Safety Alerts and maintaining records of health & safety communications.
- Updating, distributing and filing company policies and providing administrative support for ISO and other audits.
- Supporting Finance and Health & Safety departments with audit preparation, documentation, data and policies.
- Providing general day-to-day administrative support across the business and maintaining accurate electronic and hard-copy filing systems.
Experience/Skills Required:
- Proven experience within a similar office administration, HR, compliance or coordination role.
- Strong organisational and administrative skills with excellent attention to detail.
- Experience of maintaining accurate employee records and handling confidential HR documentation.
- Good IT skills and confidence using computerised systems and databases.
- Experience of working across multiple departments and liaising with colleagues at all levels.
- Ability to manage multiple priorities, meet deadlines and work proactively with minimal supervision.
- Experience within HR, compliance, training, health & safety or fleet administration would be advantageous.
Hours of Work:
Monday to Friday – 09.00 – 17.00
